How it works

From a spreadsheet to a running academy

Setting up takes an afternoon, not a project plan. Here is what actually happens, in order.

  1. 01Create your academy
  2. 02Add your programmes and batches
  3. 03Bring your people in
  4. 04Set your fees and your class rules
  5. 05Run the day
  6. 06See what it adds up to
01

Create your academy

Sign up with your academy name and your first branch. You are the owner, with full access. This takes about two minutes and needs nothing from us.

  • Add your other branches whenever you are ready
  • Set your timezone, currency and academy details
02

Add your programmes and batches

Set up what you teach and the batches you run, with their weekly timetable — day, time, room and teacher. Bilza creates the actual classes from that pattern.

  • Programmes and levels, per branch if they differ
  • Weekly slots per batch, with capacity
  • Classes generated ahead, ready to mark
03

Bring your people in

Invite your teachers and reception staff, and give each the access that suits their job. Add your students and their guardians, and put them in batches.

  • Roles for owner, manager, reception, teacher and accountant
  • Access scoped to the branches someone works at
  • Teachers install the Android app and sign in (iPhone app coming soon)
04

Set your fees and your class rules

Fee plans per programme and branch, and the class policy that decides what a missed class means. Decide it once here, and it applies the same way to everybody.

  • Monthly, term and one-off charges
  • What an absence costs, and when a makeup credit is created
  • How long a makeup credit lasts
05

Run the day

Teachers mark registers. Reception takes payments and logs enquiries. Reminders go out on their own. The overview shows what needs you.

  • Attendance from the studio, offline if needed
  • Payments recorded at the desk, dues updated immediately
  • Automatic fee reminders on your wording
06

See what it adds up to

At month end, prepare payroll from the registers your teachers marked, and look at what the month actually did — by branch, by programme, by teacher.

  • Payroll calculated from real class records
  • Branch comparison and collection rates
  • Everything exportable to CSV

What you need from us

Almost nothing to start. Two things need your own accounts, because they must be in your name: a payment gateway if you want parents to pay online, and a WhatsApp Business account if you want to send WhatsApp messages. Until those are connected, everything else works, and messages are recorded so you can see exactly what would have been sent.
