Communication & reminders

Talk to parents without living in WhatsApp

Fee reminders, class updates and follow-ups that go out on time, to the right guardian, with a record of what was sent.

The problem

Sending the same message ninety times, by hand

Fee reminders go out when someone finds an evening to send them. A class is cancelled and half the parents hear. There is no record of who was told what, so when a parent says nobody informed them, you cannot say otherwise.

In detail

How it works

01

One place for every channel

WhatsApp, SMS, email and app notifications, sent from inside Bilza against the student’s record, so the message and the person it is about stay connected.

  • WhatsApp through the official Business API
  • SMS and email for parents who do not use WhatsApp
  • App notifications for your teachers
  • Every message logged against the student, with its delivery result
02

Templates in your words

Write the message once with placeholders for the details, and Bilza fills them in per parent. You see exactly how it will read before anything is sent.

  • Placeholders for student name, guardian name, amount, due date and more
  • A live preview with real values
  • A warning when a placeholder has nothing to fill it with, rather than sending a blank
  • Templates for the common situations, ready to edit
03

Reminders that go out on their own

Set a rule once — a fee reminder a few days before the due date, a nudge after an overdue invoice, a note when a student has missed several classes — and it runs without anybody remembering.

  • Rules based on fee due dates, overdue invoices, absences and enquiry follow-ups
  • A dry run that shows how many people would be messaged and who, before you switch it on
  • Rules can be switched off without being deleted
04

Consent taken seriously

Messages only go to guardians who have agreed to receive them, and only on the channels they agreed to. That is a requirement of WhatsApp’s rules and of Indian data protection law, and it is built in rather than left to whoever is sending.

  • Consent recorded per guardian and per channel
  • A guardian who has opted out is skipped, not messaged anyway
  • A full log of what was sent, when, to whom and whether it arrived

Questions people ask

Do we need our own WhatsApp Business account?

Yes. WhatsApp requires the business sending the messages to be approved, and templates for reminders need approval too. We will walk you through it. Until it is connected, Bilza records messages so you can see exactly what would have gone out, without sending anything.

Will this get our number blocked?

Not if you use it as intended. Messages go only to guardians who have consented, on channels they agreed to, using approved templates. Bilza will not let you blast a list of people who never opted in.

Can parents reply?

Replies arrive on your WhatsApp Business number as normal. Bilza handles outbound messages and keeps the record; it is not a shared team inbox.
