Students & admissions
Every student, and everyone who cares about them
From the first enquiry to an active student with a guardian, a batch and a fee plan — one record that stays correct as things change.
The problem
The register is in three places and none of them agree
Most academies keep students in a notebook, a spreadsheet and a WhatsApp group. A parent changes their number and only one of the three finds out. Someone leaves and stays on the list for months. When you need to know who is actually active this month, nobody can answer without counting by hand.
In detail
How it works
Enquiries that do not go cold
Every walk-in, phone call and Instagram message is recorded with a follow-up date. The enquiry list shows who is due today and who is overdue, so nobody is forgotten because the person who took the call was busy.
- Capture name, guardian, phone, interest, preferred timing and where they heard about you
- A follow-up date on every enquiry, with overdue ones surfaced first
- Book a trial into a real class from the enquiry itself
- Admitting an enquiry creates the student, the guardian and the enrolment in one step — no retyping
- The source is carried onto the student record, so you can see which channels actually convert
A student record that holds the whole picture
Name, date of birth, joining date, branch, batches, guardians, attendance history, fee history and any notes your teachers need — on one screen, with the parts each role is allowed to see.
- Multiple guardians per student, each with their own relationship and contact consent
- Automatic student codes, unique within your academy
- Medical or dietary notes teachers can see without opening the finances
- Status that reflects reality: active, paused, inactive or alumni
- Pausing a student stops billing without deleting their history
Moving students without losing history
Students change batches, change branches and take breaks. Each of those is a recorded event rather than an edit that quietly overwrites the past.
- Transfer between batches, keeping attendance and fee history intact
- Move a student to another branch when a family relocates
- Pause and resume, with the dates kept
- Leaving records a leaving date, which is what the retention reports count

Questions people ask
Can we import the students we already have?
Students are added one at a time today, and admitting an enquiry creates the record for you. A bulk CSV import is not built yet — if you are moving a large register across, talk to us and we will help you load it.
Can a teacher see every student in the academy?
Only if you let them. A teacher normally sees the students in the batches they teach and nothing else. What each role can see is set by you, and it is enforced on the server, not just hidden in the interface.
What happens to a student who leaves and comes back?
Their record is still there with its full history. You reactivate them and enrol them in a batch again, rather than creating a second record for the same child.
The rest of the product
- Classes & attendanceSet the weekly schedule once. Classes are created for you, registers are ready, and a cancelled class never quietly costs a student a lesson they paid for.
- Fees & paymentsFee plans that match how you actually charge, invoices raised on time, part payments handled properly, and a dues list that is always current.
- Teachers & payrollClasses delivered, classes covered, students taught — counted from the register, priced by the arrangement you agreed, with the breakdown behind every figure.
- Parent communicationFee reminders, class updates and follow-ups that go out on time, to the right guardian, with a record of what was sent.
- Reports & insightNot a wall of charts. The exceptions that need a decision, why each one is flagged, and the reports behind them when you want the detail.
